What happens when?

Instructing an agent
Once you have instructed Kaybridge Residential are , we will arrange a further visit to take internal photos of the property. Therefore we ask that you ensure your property is presented in good order throughout to help Kaybridge Residential are get the best viewings at the highest price possible.
Terms of business
We ask that you complete and return our Terms of Business as soon as you have decided to instruct Kaybridge Residential are, confirming the service you require to suit your needs. At this time, we will also ask for a copy of your EPC so that we can start marketing your property. Your property will be uploaded onto our Kaybridge Residential are website and all other portals we use to maximize the exposure.
All landlords are given feedback on a weekly basis. At this time the negotiator dealing with your property will tell you about any interested parties or second viewings already booked.
As soon as an offer has been received, Kaybridge Residential are will contact you to agree all terms. At this time we will discuss what other services you require - for example an inventory or a gas safety certificate.
We will then contact the applicants and take a holding deposit. At this point you must instruct any other agents to stop marketing.

As soon as references have been approved and the Right to Rent Checks completed the negotiator will call you to discuss a start date. Contracts will be drawn up and sent out to all parties. If you have any questions regarding the contracts, please contact us immediately.
At Kaybridge Residential are , we take a 6 weeks dilapidation deposit unless negotiated otherwise. We are happy to register this for you under MyDeposit/TDS Schemes. If you wish to register the deposit monies yourself you must supply Kaybridge Residential are with your individual landlord registration number prior to the contracts being drawn up as this information needs to be added.
We recommend that all landlords have a professional inventory for their tenancy and where necessary a Check In.
Kaybridge Residential are use an independent inventory company and will book this on request.
All check outs are paid for by the tenants and the cost of this is either paid in advance or deducted from the deposit.
We ask that you supply enough keys for all tenants plus an additional set when we are instructed to manage the property on your behalf.
Renewing the tenancy
During month 9 Kaybridge Residential are will write to you and the tenant asking for your and their intentions. At this time, if you wish to extend, we will assess the current market trends. Once the renewal has been agreed, contracts will be drawn up and sent out to all parties for signature and return. Details of our charges can be found in our Agency Agreement.
If you wish to serve notice on your tenants, you must confirm this to the office in writing. Please note, notice cannot be served on verbal instructions.
If you decide to let the tenancy run periodically, all fees still apply (please refer to our Terms of Business).

How much is the tenant's deposit and what happens to it?
Typically, this is four to six weeks' rent and is payable upon the signing of the Tenancy Agreement. The deposit for an Assured Shorthold Tenancy (AST) should also be registered with a tenancy deposit protection scheme within 30 days. Kaybridge hold the deposit as a stakeholder and for ASTs Kaybridge registers this with a deposit protection scheme, resulting in a faster and more efficient deposit release process at the end of the tenancy.
How long does it take to receive my rent once paid by the tenant?
For a long let you should receive your rent within 3-5 working days of the rental due date each month. The due date is typically, although not always, the date on which the tenant moved in. For a short let you will receive your rent in full within 3-5 workings days of the commencement of the tenancy.
Do I need to be present for viewings?
If your estate agent is accompanying all viewings and they have the access codes and keys for your property then your presence is not required. It is worth noting that tenants often feel more relaxed when the owner is not present.
What does the new deposit scheme involve and how does it protect me?
All deposits being paid by a tenant for an Assured Shorthold Tenancy are registered with a recognised deposit protection scheme within 30 days guaranteeing that any deposit disputes will be dealt with efficiently.

How much will it cost me to let my property?
The costs involved in letting your property consist of:
Energy Performance Certificate
An EPC, which you will need to make available to prospective tenants no later than 28 days from marketing beginning. Check if your estate agent can arrange for an EPC to be carried out on your behalf. Kaybridge can arrange your EPC for you.
Inventory and check-in report
An inventory and check-in report, which should be organised before a tenant moves in. Ask your estate agent if they can arrange this on your behalf or provide an estimate. Costs vary depending on the size of the property.
Estate agent commission
Your estate agent's commission fee, which is usually payable when a tenant is introduced and enters into an agreement to let the property. This is charged as a percentage of the agreed rental price + VAT at the prevailing rate.
How much will it cost to have my property managed?
Your estate agent's Property Management fee will be charged as a percentage of the rental price + VAT and is payable upon the tenant signing the Tenancy Agreement. Refer to your estate agent's Terms and Conditions for an outline of the services provided by their Property Management department and the corresponding fee.
How much does an inventory cost and who is responsible for organising this?
Prices vary depending on the size of your property, however, your estate agent should be able to organise an inventory on your behalf. Kaybridge can arrange an inventory for you.
